Automate repetitive hiring work

Set up focused automations and agents for feedback reminders, waiting candidates, interview briefs, offer deadlines and a weekly brief — you approve anything a candidate would receive.

Step 1: Open Automation

In Hiring mode, open Automation (/hiring-automations) under AGENTS in the sidebar. The top shows active automations, runs today, what is waiting for your approval, failed runs this week and actions completed today.

Step 2: Start from a ready-made automation

Ready-made automations each say what they do, when they run, what they read and what they can change: Interview feedback reminder, Candidate waiting alert, Candidate follow-up drafts, Upcoming interview preparation, Offer deadline reminder, Weekly hiring review, Talent Pool follow-up, New referral alert and Shortlist update message. Choosing one opens the builder — nothing is switched on silently.

Step 3: Build it: WHEN, ONLY IF, THEN

WHEN is what starts it (an interview completed, a candidate waiting a number of days, an interview coming up, an offer near its answer-by date, a new application or referral, a stage change, a new role, or a schedule). ONLY IF lists conditions such as the role still being open, no interview booked, or no message from you recently. THEN is what it does: a reminder, a notification, a note for interviewers, an interview brief, a draft message, or the hiring brief.

Step 4: Choose how approval works

Always ask makes everything wait for you. Ask when needed lets reminders and briefs run but holds anything a candidate would receive. Automatic is only possible when nothing it does reaches a candidate. A draft message is never sent for you — you read it, edit it and press Send yourself.

Step 5: Preview and test before you activate

Preview says how many candidates, interviewers and roles it would affect right now. Test run lists what each person would get and who would be skipped and why — for example because an interview is already booked. A test writes nothing and contacts nobody. Then press Activate.

Step 6: Set limits

Each automation has a maximum per run, a maximum per day and a cooldown before it acts for the same person again. Anything over a limit waits for the next run. Across all automations Copilot prepares at most 20 candidate messages a day.

Step 7: Review what needs your approval

Needs your approval lists drafts to review, reminders waiting under Always ask, and anything where the agent stopped — for example when the candidate wrote to you last, so a reply from you fits better than a follow-up. Review the draft opens the same Copilot sheet as the dashboard.

Step 8: Read the run history

Agent runs (/hiring-automations/runs) lists every run with its trigger, start and finish, what it acted on and its result: Completed, Skipped, Waiting for approval, Waiting for information, Failed or Cancelled. Open one for the plan it followed, what it skipped and why, and an action log for each item: what happened, why, the data considered, the tool used, what the AI produced, what changed and who approved it.

Step 9: Pause or switch off

Pause stops one automation for now; Disable turns it off on purpose. Pause all automations stops every run at once and keeps every configuration — Resume all starts them again. Three failed runs in a row pause an automation and say why.

Step 10: What agents never do

No automation rejects, hires, moves a candidate to another stage, compares candidates, predicts who will accept, makes a pay decision or infers anything personal. They prepare the work; you make the hiring decisions.
